How data rooms are priced
- By the page
- The older model for large rooms: a price for every page uploaded. A room of scanned contracts grows fast, and so does the bill.
- By the user
- A price for each person with access, sometimes counting the other side's people too. It punishes a well-run auction with many bidders.
- By the plan
- A monthly or yearly price for a number of rooms, people, and storage. The easiest to budget, when the price is published.
- By the deal
- A quote for one project, usually with a minimum term. Common for large transactions, and rarely published.
What small deals pay
Published prices, and the ones that are not
Among the data rooms on our comparison page, the published plans that include a room run from $140 to $1,500 a month, billed yearly, and one publishes no price at all, only a quote. Each figure is read from the provider's own pricing page, with the date it was read.
A room for one small deal usually needs a few people on your side, a few hundred files, and three to nine months open. The plan that covers that, and what it costs when the deal runs long, matters more than the first month's price.
What pushes the price up
- Pages and storage
- Scans, drawings, and video add up; a plan with a storage cap or a per-page price grows with the room.
- People
- Your team, and on some plans the other side's too.
- Rooms open at once
- Two deals at once can mean two subscriptions.
- Months open
- Deals run long. A price per month is only as good as the number of months.
- Extras
- Redaction, questions and answers, watermarking, and your own branding are separate lines on some price lists.
- After it closes
- Some providers charge to archive or export the room once the deal is done.
